Reservation Guidelines & Policies

MT HOOD MANAGEMENT, LLC VACATION RENTAL POLICIES

Please review the Property Lease Terms before making a reservation.  Any monies received by Mt. Hood Management, LLC for occupancy of a vacation rental property indicate the acceptance of terms and conditions of polices and vacation rental lease agreement.  As a guest of Mt. Hood Management, LLC, you agree to the following policies:

  • All properties represented are individually owned and furnished to the needs of the owner. Owner’s personal property must be respected.  Mt. Hood Management, LLC, DBA Collins Lake Resort represents the owner(s) of the property(s) in a client/agency relationship.
  • The minimum age to rent a property from Collins Lake Resort is 23 years of age. Valid ID is required upon check-in. All those under the age of 23 must be accompanied by a parent, legal guardian or adult over the age of 22 years old.
  • The property shall not be used at any time by more than the amount of adults and children as per your reservation.  Unregistered an Unauthorized guests may be charged more than the standard fee.
  • Credit card payment for first half of the rent is due at time of booking. Full, non-refundable payment is due 30 days prior to arrival date.
  • There are no refunds given for cancellations or rescheduling within 30 days of check-in.
  • If you should experience a scheduling conflict with your reservation and notify us 30 days prior to the arrival date, you have two options:
    • The first (1) option is to RESCHEDULE for a fee of $100. The $100 Reschedule Fee will be deducted from the deposit and the balance will be held as a credit on file for one year.
    • The second (2) option is to CANCEL your reservation. A $150 Cancellation Fee will be deducted from the amount paid and the balance will be refunded in the original form of payment.
  • In order to bring a pet, a Pet Friendly property must be reserved and specifically noted in the reservation. The standard fee is $50 - $100 per pet, plus any extra costs arising from damage or cleaning that must be done due to the pet(s).
    • Properties who are not classified as Pet Friendly may charge more than the standard fee for unregistered or unauthorized pets.
    • Pets should be not be left unattended in the home
    • Pet(s) must be kept on leashes and please remember to pick up after them; there are waste stations conveniently located throughout the resort. 
  • Rates are based on occupancy of 6 adults and do not include county and state tax. There is a $20 per night fee for each additional Adult. Children 12 and under stay for free. A Reservation Fee will be processed for every reservation.
  • Trip Cancellation Insurance is available from CSA Travel Protection and protects against various forms of trip interruption and cancellation, documentation may be required. Acceptance of this insurance must occur before the final payment is paid. The premium for this insurance is 6.95% of the total bill of the reservation. Please ask a Vacation Specialist for details.
  • No refunds made pending satisfactory inspection of unit after departure. Renter is liable for damage, theft, extra cleaning, lost keys, items moved from one unit to another or extra people and agrees to accept charges to the card on file.
  • If prior to the check-in date the leased property becomes unavailable for any reason beyond the reasonable control of Collins Lake, including but not limited to Acts of God, government restrictions, or damage to or restrictions on the use of the property, Collins Lake will promptly notify Tenant and will use its best efforts to re-book Tenant into another Collins Lake property of like kind and for the same time period. In the unlikely event this occurs, the Tenant shall have the right to either i) accept one of the substitute properties offered by Collins Lake, or ii) cancel the reservation and receive a full refund of any deposit.
  • Depending on the property and season, nightly minimums do apply. During the December holidays there is a 3 to 5 night minimum for advance reservations. MLK and President's weekends require a 3 night stay.
  • The renter shall pay any and all legal fees to the owner and agent if any action or suit shall be brought about by the owner or agent for the recovery of rent due, reimbursement of damages, cleaning or other expenses incurred by the renter.
  • Resort does its best to ensure that each property is fully functional for its guests. If you find an appliance that is not working properly, or any other problems, please notify the Front Desk immediately. There are no refunds issued to guests, as every effort is made to service each request.
  • Resort reserves the right to evict at any time any guest who is not in compliance with the policies. Refunds will not be issued to guests evicted due to non-compliance.
  • Clackamas County Fire Code has set occupancy limits for all units. Each property has a posted limit and cannot be exceeded for any reason. Renters in violation of this code may be evicted and will forfeit entire rental amount paid.

CHECK-IN AND CHECK-OUT

  • Check-in and check-out will take place at the on-site management office at Collins Lake Resort or the Grand Lodges.  Click HERE for Directions. 
  • Check-in time begins at 4pm. Our office is not open 24 hours so please let us know if you will need after hours arrival arrangements.
  • Check-out time is 11am and we respectfully ask for your cooperation with this guideline. Please advise the Front Desk if you will be checking out earlier. Tenants may be charged an additional night rent without stay for late check-out.

DURING STAY SERVICES

  • Daily housekeeping service is available for a fee. We request that this service be arranged with the Front Desk prior to your arrival.
  • Delivery of groceries is available for a fee. We request that this service be arranged with the Front Desk prior to your arrival.
  • The following amenities are provided for your convenience: conditioning shampoo, hand soap, dishwasher detergent, dishwashing liquid, paper towels, dish towels, toilet paper, trash bags, bath towels, bed linens and fully equipped kitchens.  

RESORT POLICES

  • Smoking is PROHIBITED in all dwellings including the garage. Penalty can exceed $1000. Please smoke outside and dispose of butts safely & properly.
  • At no time shall a property be used for a party or commercial purposes.
  • Please refrain from making excessive noise after 9pm.
  • Pool and Clubhouse facility hours are posted and subject to change and are strictly enforced. Please have your pool key at all times while visiting these facilities. Children under the ages of 14 are not permitted in the pool unsupervised. Glass is NOT permitted in the pool area. Please be sure all pool supplies are returned to the appropriate condo.
  • Weather conditions change rapidly in the mountain environment where Collins Lake Resort is located. Renter understands they must take precaution from falling snow and ice from building roof tops and slippery conditions. During the winter, areas behind buildings are extremely dangerous due to shedding snow loads.
  • Mt. Hood Management, LLC accepts no responsibility for packages delivered to Headquarters.
  • Please drive slowly within the Resort, families are at play. Vehicles must be parked in the garage or in a designated parking space. Do not park in fire lanes, on sidewalks or in front of garages.
